Professional Portraits at Conference Scale

IBM TechXchange brought a major technology audience to Orlando. The activation needed to give attendees a polished, useful takeaway while maintaining an efficient experience across a busy multi-day program.

Strata Booth supported the George P. Johnson event planning team with a headshot operation designed for volume, consistency and separate guest priorities.

The Setup

Two Main-Floor Stations + One VIP Booth

Two headshot booths served attendees on the main conference floor. A third, dedicated VIP station was reserved for speakers, helping the planning team accommodate priority guests without interrupting the main attendee flow.

The Result

2,200 Headshots in Four Days

The three-station configuration produced approximately 550 professional headshots per day across the event. The finished portraits gave attendees a practical professional asset while demonstrating that a high-volume activation can still deliver a consistent, studio-quality look.

How to plan headshots for a large conference

At IBM TechXchange at the Orange County Convention Center, Strata Booth supported the George P. Johnson planning team with three headshot stations over four days: two main attendee stations and a separate VIP station for speakers.

Conference attendance
More than 20,000
Activation configuration
Two attendee stations + One VIP
Documented output
2,200 headshots • Four days

Does 20,000 attendees mean 20,000 headshots?

No. More than 20,000 people attended the conference; the activation produced 2,200 headshots. Station planning should use the expected number of participants and their available time, rather than treating conference attendance as portrait volume.

Why use a separate VIP station?

The dedicated speaker station gave priority guests their own portrait workflow while the two main stations served attendees. For your event, we assess whether executive, speaker or sponsor commitments need separate scheduling or a dedicated station.

Can we use this result to estimate an hourly rate?

The 2,200-headshot total covers all three stations across four days. Exact station operating hours are not stated here, so the total cannot establish an hourly throughput guarantee. Session breaks, portrait time, staffing and delivery workflow all affect a new event’s capacity.

What information helps size the activation?

Send expected participants, the agenda, station operating hours, room or expo location, VIP needs and delivery expectations. We can then scope the number of stations and staffing for your actual program.

Planning From This Assignment

Size the Stations Around Participation

The 20,000-plus conference attendance and 2,200 completed headshots describe different things. For a new event, estimate the people likely to use the station and when they can visit—not the total number of badges issued.

This assignment used two attendee stations and a separate speaker/VIP station. That separation is useful when priority guests have different availability. The four-day total does not establish a guaranteed hourly rate; station hours, session breaks and portrait time must be planned for your program.
