Use this checklist to turn your agenda into a workable photography plan. Each priority needs a time, a location and someone who can help identify the right people. Delete anything that does not apply to your event.

For image formats, sponsor reporting, marketing uses and delivery expectations, pair this with our marketing team’s photography deliverables brief.

Before doors open

  • Exterior or arrival view when it helps establish the event.
  • Registration desk, event signage and wayfinding before crowds arrive.
  • General-session room and stage with screens and lighting ready.
  • Sponsor displays, activation areas and branded details.
  • Room arrangements and production details that will become harder to photograph once guests enter.

Put setup photographs inside the agreed coverage schedule. If they must happen before registration opens, tell the photographer when the rooms will be ready and accessible.

Registration and arrivals

  • Welcomes, badge collection and genuine guest interactions.
  • Priority guests arriving when their attendance matters to the brief.
  • Context showing how guests enter and navigate the event.

Provide an onsite contact who can recognize VIPs. A name on a list is rarely enough to identify someone quickly in a busy lobby.

Keynotes and panels

  • Wide view showing the stage, room and event identity.
  • Clear individual photographs of each priority speaker.
  • Panel interaction and a frame including all panelists where practical.
  • Audience reactions, questions and applause.
  • Presentations or announcements specifically identified as essential.

Share speaker names, order, start times and access restrictions. Note confidential slides and any periods during which photography is restricted.

Breakouts and simultaneous sessions

Assign priorities by room. Identify which sessions need complete coverage and which need a representative selection. Flag moments happening at the same time in different spaces so the team can discuss an additional photographer or an agreed order of coverage.

At Visit Orlando’s 2026 Industry Insights Forum, two photographers documented stage activity alongside audience and attendee moments. Use your own agenda to assess staffing; another event’s attendance alone does not establish your crew needs.

Networking and receptions

  • Small-group conversations and active participation.
  • Connections between attendees, exhibitors and hosts.
  • Representative room views showing atmosphere and scale.
  • Planned team or client groups at an agreed meeting point.

For posed groups, reserve a short window and ask an event contact to gather the people. Do not rely on finding everyone together by chance.

Sponsors and activations

  • Each priority sponsor’s readable branding.
  • Guests interacting with the display, product or experience.
  • The activation in the wider event environment.
  • Required sponsor representatives or groups.

Supply sponsor names and deliverables before the event. If you also book a corporate photo booth, distinguish its guest outputs from the photography needed to document the activation.

Awards, leadership and closing moments

  • Recipient, presenter and award handoff.
  • A clear recognition photograph when the program allows it.
  • Leadership interactions and essential group photographs.
  • Closing remarks and the final atmosphere of the event.

Give the photographer the award order and explain where recipients will stand. Flag unexpected changes through one designated onsite contact.

Mark essentials clearly. A shorter prioritized plan is more workable than a long list with no times or locations.

Final coordination checklist

Send the current agenda, floor plan, priority people, sponsor requirements and access instructions. Confirm arrival time, crew size, break arrangements, where equipment can be staged and how schedule updates will be shared. Agree on the image selection and delivery schedule using the marketing deliverables brief.

Request the right coverage

See Strata’s corporate event photography assignments and pricing or send your event details. Include your city, date or tentative range, coverage hours and any important moments happening simultaneously.
